Operations Assistant / Administrator

The role

This role helps keep loads moving and supports the Executive Director with the admin behind the fleet, from dispatch and fuel through to forex, claims and debtors. You keep these processes running accurately and on time, and take routine work off the Executive Director’s desk.

Key responsibilities

  • 30%
    Dispatch & load execution supportHelp get loads dispatched on time. Confirm truck and driver allocations, make sure the briefing and paperwork are sorted before departure, and follow loads through to delivery.
  • 20%
    Fuel ordering & reconciliationPlace fuel orders for the fleet using approved suppliers and the trip plan. Track each order to delivery, check the fuel drawn against expected usage, and report anything that looks off.
  • 15%
    Insurance & claimsLodge insurance and goods-in-transit claims, pull together the supporting paperwork, and see each claim through to settlement. Work with insurers, brokers, customers and drivers to clear queries and keep turnaround short.
  • 10%
    Driver forex & cashMake sure drivers have the right currency and cash before they leave. Reconcile advances against each trip and account for whatever comes back.
  • 10%
    Executive assistant supportLook after the Executive Director’s diary, correspondence, documents and filing. Set up meetings, keep action lists moving, and pick up whatever else needs doing.
  • 5%
    Business development supportFollow up on CRM tasks and help bring new customers on board.
  • 5%
    Incident loggingLog every incident properly and on time, then stay on it until it’s closed out so the backlog stays low.
  • 5%
    Debtors supportChase outstanding invoices and overdue accounts.

Minimum requirements

  • Matric / Grade 12 is essential. A diploma or certificate in administration, logistics, finance or operations would help.
  • Two to three years in an admin, operations or finance support role, ideally in transport, logistics or freight.
  • Some exposure to cross-border freight, customs paperwork and proof-of-delivery is a strong plus.
  • Working knowledge of fuel, forex or claims administration.
  • Comfortable with email and spreadsheets, and able to pick up a TMS and tracking tools.

Skills & competencies

  • A sharp eye for detail, especially with numbers and reconciliations.
  • Well organised, and able to keep several recurring tasks on track without being chased.
  • Good with numbers and at ease working across different currencies.
  • Communicates clearly by phone, email and in person, with drivers, suppliers, insurers and customers.
  • Discreet and dependable with confidential financial and operational information.
  • Happy to follow set procedures, and to suggest better ways of doing things.
